Information from AI tools on our site
Our website includes AI-powered tools such as a live chat assistant (Aria) and voice AI (Jane). Any information you share with these tools — including messages and voice inputs — may be processed and stored in order to provide the service. We do not use these conversations for any purpose other than responding to you and improving the service.
Information about third-party contacts
If you provide us with information about other individuals (for example, a colleague's contact details), please ensure you have their permission to share that information with us.
3. How We Use Your Data
We use your personal data for the following purposes:
- To respond to enquiries — when you contact us or complete a form, we use your details to get back to you
- To deliver our services — to onboard you as a client, set up and manage AI systems on your behalf, and provide ongoing support

We do not sell your data. We do not use your data for automated decision-making that produces legal or similarly significant effects.

5. Who We Share Your Data With
We share your data only where necessary. The third parties we work with include:
- GoHighLevel (GHL) — our CRM, calendar booking, and communications platform.
- Anthropic — provider of the Claude AI models used to power our live chat and AI tools.
- Vercel — our website hosting provider.
- Stripe — payment processing (where applicable). We do not store card details.
- ElevenLabs / Google Cloud — voice synthesis services used in our AI Voice products.
All third-party processors are required to handle your data securely and in accordance with applicable law. We do not sell or rent your personal data to any third party for their own marketing purposes.
We may disclose your information if required to do so by law or in response to a valid legal request from a court or regulatory authority.
6. Data Retention
We retain your personal data for as long as necessary to fulfil the purposes set out in this policy, or as required by law:
- Enquiry and prospect data — up to 24 months from last contact, unless you become a client
- Client data — for the duration of your engagement plus 6 years (to comply with UK financial record-keeping requirements)
- Website analytics — aggregated and anonymised; no fixed retention limit
When data is no longer needed, we delete or anonymise it securely.
7. Your Rights
Under UK GDPR, you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — ask us to correct inaccurate or incomplete data
